# Launch checklist

> Take an event from draft to going live: page, tickets, registration form, payment options and promotions, with what to check at each step.

Use this checklist the week before you open sales. Work through it in order, and tick each item only after you have looked at the result as a buyer would.

> [!NOTE]
>
> Creating a new event is not self-service in the portal yet. If your organization has no events, see [Events overview](/events/overview) for how to get one set up.

## 1. Get your event page right

**1. Open the Event Editor**

Open your event and select **Event Editor** in the event menu. The page is laid out like the one buyers see.

**2. Fill in the required items**

Add a **Main image**, check the **Event name**, set the **Start** and **End** time, and write the **About** text. These cannot be left empty. See [Event editor](/events/event-editor) for the limits on each.

**3. Add the extras**

Upload gallery images, add **Terms and Conditions**, and review the **Checkout consent** boxes buyers will tick. Decide whether to turn on the optional **Marketing consent** box.

**4. Save**

Select **Save Event**. Nothing is published until you do.

> [!TIP]
>
> Check that the date, location and venue lines under the name are right. They are not editable in the editor, so if something is wrong, raise it with PLVR before you launch.

## 2. Set up your tickets

Open **Ticket Management** under **Tickets**.

1. Check each ticket's **Price**, **Total Quantity**, and **Sales Start Date / Sales End Date**.
2. Set **Limit Qty per Order** or **Limit Qty per User** if you want to stop one buyer taking too many.
3. Make sure the tickets you want buyers to see are **Active**. A ticket whose sales start is in the future shows how many days are left until it opens.
4. If you sell in tiers, such as early bird then general admission, set up a **Release Chain** and switch **Auto-release** on.
5. Create any **Add-ons**, such as parking or merchandise, on the **Add-ons** tab.

> [!WARNING]
>
> Once the first ticket has sold, a ticket's **Name** and **Price** are locked. Settle them before you open sales.

Use **How Fees Work** under the price to confirm what the buyer pays and what you receive.

See [Ticket management](/tickets/ticket-management) for every field.

## 3. Decide what you ask buyers

Open **Registration Form**.

* Use **Quick add** for common questions such as **Phone Number** or **Date of Birth**, or create a **Custom question**.
* Mark only the questions you really need as **Required**. Every required question is one more reason for a buyer to give up.
* Name and email are always collected.

If the event uses PLVR Tap, also check the **Personalization Form**. See [Cashless festival setup](/guides/cashless-festival-setup).

If you want to approve each attendee yourself, use [RSVP](/events/rsvp) to review requests.

## 4. Prepare other ways to sell and invite

> **Complimentary tickets**
>
> Issue free tickets for sponsors, press and guests under **Comp Tickets**. They count against ticket inventory like any other ticket. See [Complimentary tickets](/tickets/comp-tickets).

> **Payment links**
>
> For a one-off sale such as a VIP table, create a link under **Payment Links**. Each link can be paid only once and expires 24 hours after creation, so create it when the buyer is ready. See [Payment links](/other/payment-links).

> **Promotions**
>
> Create promo codes, tracking links and your door sales poster before launch day so they are ready when you announce. See [Promote your event](/guides/promote-your-event).

## 5. Go live

When everything above is done, open the **Events** list and use the status menu on your event to set it to **Public**. A message confirms "Event is now ...".

> [!WARNING]
>
> An event with the status **Ended** is locked and its status can no longer be changed.

## 6. Verify after launch

> [!TIP]
>
> Use **view Event** (at the top of the event menu) to open the public page and confirm the image, text, price label and buy button look right.

> [!TIP]
>
> Test one real purchase with a promo code, then find it in the **Ticket Report** to confirm it shows the right ticket, **Promo Code** and **Revenue**.

> [!TIP]
>
> Open the **Overview** page and watch **Tickets Sold**, **Page Views** and **Conversion Rate** over the first days.
