# Scanning team

> The gate, wristband, top-up and desk teams who run event day, and how access is set up for them.

The scanning team is everyone working at the event itself: gate, wristband, top-up and desk staff. They do not need a Business Portal account. Whoever manages the event creates **login codes** under **Onsite Staff**, and each code has a role that decides what it can do. Organization **Scanner** members are a separate thing: they have access to PLVR Scan for ticket scanning only. See [Team and roles](/organization/team).

## Onsite roles

When creating a code you choose one of these roles, each shown with a short description. The names below are the roles the portal offers:

| Role | Typical job |
| - | - |
| Check-in staff | Admit guests at the gate. |
| Add-on check staff | Check add-ons at redemption points. |
| Binding staff | Put wristbands on guests (PLVR Tap events). |
| Top-up staff | Take top-ups at an assigned **Top-up Station**. |
| Supervisor | Handle restricted actions at the desk. |

> [!NOTE]
>
> Exact role names and descriptions are shown in the **Role** list when you add staff, and may read slightly differently from this table. See [Onsite staff](/onsite/onsite-staff).

## For the team lead: setting people up

**1. Create stations first (cashless events)**

Top-up staff need a station. See [Top-up setup](/tap/top-up-setup).

**2. Add staff**

In **Onsite Staff**, select **Add Staff**. Create a batch of codes, or import named people with a CSV.

**3. Hand out codes**

Share each code with its person. Use the **Note** field to label it, such as "Alex - Main Gate".

**4. Switch codes off after the shift**

Set a code to **Inactive** to turn it off without deleting it.

## What the team does on shift

* **Admitting guests.** Check a name against the guest list and admit guests, or add someone approved on the day. See [Guests](/onsite/guests).
* **Door sales.** Guests without tickets scan the QR code from your poster and buy on their phones. See [Door sales](/promotions/door-sales).
* **Wristbands.** Bind, take off, freeze or replace bands on Tap events. See [Wristbands](/onsite/wristbands).
* **Top-ups.** Top-up staff record onsite top-ups at their station, using the payment methods you enabled. See [Top-up setup](/tap/top-up-setup).
* **Desk and supervisor work.** The Onsite Operations console starts at the [Command Center](/onsite/command-center). From there:
  * find a person with [Search](/onsite/search);
  * review [Tickets & Entry](/onsite/tickets) when someone cannot get in;
  * see everything about one person in [Participants](/onsite/participants);
  * reconcile money in [Cashless](/onsite/cashless);
  * record problems in [Service cases](/onsite/cases).

Some wristband actions are marked **Restricted** and only a supervisor can use them. See [Wristbands](/onsite/wristbands).

## Before the doors open

Run through the [event day runbook](/guides/event-day-runbook) with your team.
